Privacy Policy

RentPouch is software for self-managing landlords. This policy explains what information RentPouch collects, why it is used, and the choices available to account holders.
RentPouch does not contact your tenants
RentPouch does not independently email, text, call, or otherwise contact tenants. Tenant contact information is stored only as part of the records you choose to maintain. You remain responsible for every communication with your tenants and for complying with applicable landlord-tenant and privacy laws.
Information we collect
- Account information: name, email address, authentication credentials, connected sign-in providers, organization membership, and account preferences.
- Portfolio information: properties, units, leases, residents, contact details, payments, bills, deposits, inspections, maintenance, legal records, receipts, notes, and uploaded documents or media.
- AI content: prompts, voice input, attachments, generated responses, and reviewable drafts when you choose to use AI features.
- Technical information: device information, push-notification tokens, security events, request logs, and diagnostic data needed to operate and protect the service.
How we use information
We use information to provide and secure accounts, organize landlord records, generate requested documents, synchronize web and mobile experiences, process AI requests, deliver account-holder service notifications, troubleshoot problems, prevent abuse, and improve reliability.
Service providers
RentPouch uses service providers only where needed to operate the service. These may include Cloudflare for application hosting, databases, and file storage; Google for optional sign-in; OpenAI for optional AI chat and voice processing; Apple for push notifications; and an email-delivery provider for account and service notices sent to RentPouch users. Information is shared with these providers only for the relevant service function.
OpenAI states that API inputs and outputs are not used to train its models by default. You should still avoid submitting information to AI features when you do not have authority to process it.
Storage, security, and retention
RentPouch uses access controls and encrypted network connections designed to protect stored information. No service can guarantee absolute security. We retain account and portfolio information while an account is active and as reasonably necessary to provide the service, resolve disputes, enforce agreements, maintain security, and meet legal obligations. Account holders should remove records they no longer need and may export supported portfolio data from the application.
Your choices
You may update account and portfolio information, disconnect supported sign-in methods, disable device notifications, export supported data, and request account deletion through the application. Deletion may not immediately remove limited information retained for security, legal, backup, or fraud-prevention purposes.
Children
RentPouch is not directed to children under 18, and we do not knowingly create accounts for children.
Changes to this policy
We may update this policy as the product or legal requirements change. The effective date above will be revised when a material update is published. When appropriate, account holders will receive notice inside the service or through their account contact information.

Privacy and data requests may be submitted through RentPouch account support. Include the email address associated with your account so the request can be verified.
